When traveling on business, you don’t always have the luxury of a lot of advance planning. In fact, it is said that fully half of business travel is done on the spur of the moment. Airlines, hotels, car rental agencies and other types of firms that service the business traveler count on this. When you don’t have time to plan, you don’t have time to worry about the prices.
Even if you don’t have a lot of time to plan, there are many ways you can save on your business travel. Here are a few tips. Not all will apply to every trip you take, but hopefully it will get you thinking about saving when you can.
First, be sure you have the things you need. Airports and hotel shops are the worst places to buy anything that you may have forgotten. Similarly, airport food is always expensive and usually terrible. Try to eat before you get there.
This one is obvious: Book airlines in advance whenever possible. You know this already but do you know that last minute tickets are routinely triple the price of advance bookings? Conversely, last minute hotel bookings are often the cheapest, although you do run the risk of serious inconvenience if you cannot get the last minute deal you want.
Many major cities are serviced by more than one airport. Usually one will be cheaper than the others will. Balance the savings against the convenience and make a choice.
Increasingly, airlines are trying to tack-on luggage fees. Be sure you know the luggage regulations. When you arrive at the airport, it is already too late to think about repacking. You’ll just have to pay. Be careful of international flights. Even within the same airline, domestic and international flights don’t have the same luggage rules. If you can travel without checked luggage, it is better. Again, be sure you know the restrictions for hand carry luggage, both for the airlines size rules and the relevant security regulations.
Access your hotel needs. If you have already decided you will need a rental car, why not stay a little further away and save on the hotel bill? In addition, if your stay is extended, look into the business apartments that are complete with kitchens. They will save on your restaurant costs, allow you to eat healthier and are generally more spacious and comfortable too.
Many hotels and airports charge you some very high rates for internet access. Call your cellular phone provider and look into a PDA (Personal Data Assistant) that’s a cell phone with internet access. You may also look into an air card that allows you internet access via your cell carrier and is independent of the hotels’ and airports’ Wi-Fi hookups. The cell internet hookups also cost money but you can balance the expense and convenience.
Park you car at hotels and restaurants by your self. You will save a lot on those valet fees.
When you rent a car, do you need all those insurance extras? Call your own car insurance company. You may already be covered or you can add the needed rental car coverage inexpensively.
Yes, there are ways to travel on business more cheaply. You won’t be able to do this all the time, but it is worth the effort to try.
